Front Office Executive
RESPONSIBILITIES
- Taking of incoming calls at reception and routing to appropriate staff
- Support of staff in administrative duties including arranging appointments, taking messages, getting company and contact details, etc
- Handling of incoming / outgoing mails, couriers, faxes and printing address labels
- Attending to visitors and candidates coming to the office, usher them into meeting rooms, serve them coffee, tea, water , etc
- Formatting of candidate resumes to be sent to clients (in Microsoft Word)
- Purchase of stationary, postage stamps, office & pantry supplies and name cards and placing of orders in time
- Hotel & travel bookings and local transport arrangements for management/staff
- Overseeing the activities of the cleaning lady
- General office maintenance and housekeeping including liaising with building management office, electrician, contractor, etc as required
- Administration of on-line personality tests, and providing test results to the manager
- Other ad-hoc administrative tasks as assigned
- Assist in making outbound calls to prospects
KNOWLEDGE AND SKILL
- Diploma and above
- Experience in Office Administration and/or Receptionist duties
- Strong in MS Office with good typing skills
- Engaging personality with excellent communication and inter-personal skills
- Proven ability to multi-task, prioritize and time management
- Must be a team player and take the initiative in creating a pleasant and conducive office atmosphere for all
